How to Use Templates in the New Outlook on the Web (Office 365)

Step 1: Accessing Outlook on the Web
  1. Open your preferred web browser and go to the Office 365 login page.
  2. Sign in with your Office 365.
Step 2: Creating an Email Template
  1. Once you're logged in, click on the "App launcher" (grid icon) in the upper-left corner, and then select "Outlook" to access Outlook on the Web or visit Outlook.Office.com
  2. Click the "New" button to start composing a new email
  3. In the email composition window, you can create your email template.
    1. NOTE: If the message contains things like tables or images, It is important that those are created inside Outlook and not copied and pasted from other apps like Excel or Word.
      If you do copy them, you will likely receive an error that it is too large, and not be able to save the template. 
    2. Plain text should be no problem to copy and paste, but if you do, make sure that you copy and then paste in the new email composition window "as plain text" (crtl+sift +V) and then apply all formatting within the new message window.
  4. Once your email is ready, select and copy(Crtl+C) the contents in the email composition window .
  5. Click on the app menu icon, then the "My Templates" Icon, or click directly on the "My Templates" icon from the email composition toolbar.  (  or 
  6. From the "My Templates" side menu, click "+ Template".
  7. Give your Template a Title in the first box and then paste (Crtl + V) the contents of the template in the larger box. 
  8. Once done, click  "Save."
Your email template is now saved and can be used in the future.

Step 3: Using an Email Template
  1. To use a saved email template, start by creating a new email as you normally would by clicking the "New" button.
  2. In the email composition window, click the app menu icon, then the "My Templates" Icon, or click directly on the "My Templates" icon from the email composition toolbar.  (  or 
  3.  The "My Templates" pane will appear on the right-hand side of the screen, displaying your saved email templates.
  4.  Click on the template you want to use, and it will automatically populate the email composition window with the template's 
  5. You can further edit the template if needed and then the recipient's email addresse(s).
  6. Finally, click "Send" to send your email using the template.
